Production Associate, Hotels & Hospitality
We are seeking a Production Associate that is a motivated individual who can easily juggle shifting priorities, moving between client event planning, marketing, and project management of real estate transactions. This is a fast-paced, team-oriented environment. We partner with producers, analysts, and associates to help the office's overall deal flow and success.
Key Responsibilities
- Serve as project manager managing shifting timelines and moving sale and financing assignments from engagement to closing in Capforce, our internal CRM. Real estate experience is preferred, but not a requirement.
- Prepare and manage the flow of various key documents, including Requests for Proposals, Fee Agreements, Confidentiality Agreements, financial comparisons, invoices, etc. with direction from Producers and/or knowledge of company policies, procedures, and best practices.
- Assist in developing schedules, ensuring timely completion of tasks, and adherence to project timelines.
- Organize and arrange both onsite and offsite meetings and other event planning duties.
- Arrange travel needs and create complete travel itineraries for all trips. Report expenses as required by company policy.
- Outlook inbox and calendar management and related business correspondence.
- Take the initiative to support Producers with specialty and high-priority projects, which can include lead and deal origination, client outreach, and marketing initiatives. Attend weekly team meetings, ensure estimated close date and stage are up to date.
- Create and edit deliverables for prospect/client meetings with PowerPoint and other design software such as InDesign. Prior marketing experience is preferred.
- Coordinate and collaborate with the graphic design team on high-end deliverables.
- Work with third party vendors to facilitate transaction diligence period and closing.
- Manage and update deal statuses, manage press releases, calling lists, and activity tracking.
Experience And Qualifications
- Bachelor’s Degree Required
- Experienced professional with a minimum of 3-5 years of experience, preferably with both executive assistant / personal assistant experience
- Excellent English, grammar, written and oral communication skills
- Proven record of successful problem solving
- Superior organizational skills and record-keeping, and strong attention to detail
- Excellent interpersonal skills, positive attitude and high energy level
- Proficiency and working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required
- Graphic design experience and knowledge of Adobe Software such as InDesign and Photoshop is a plus
Compensation
The range shown below is an estimated base salary. This position also qualifies for an additional discretionary bonus.
