Job Title:Business Support & Operation Specialist - Benelux
Position Summary
The Business Support Specialist serves as a key partner to Procurement and Finance Business Partners, while connecting Sales, Marketing, and supporting functions. The role ensures that sales, marketing, procurement, and related expense processes operate efficiently and in full compliance. Through data analysis and business insights, the position also supports operational decision-making and resource optimization.
Key Responsibilities
Operational Support and Process Management
- Manage procurement, payment, and expense-related processes across different markets, including purchase requests, purchase orders, invoices, and payment tracking.
- Support company vehicle administration, including vehicle allocation, leasing, insurance, maintenance, and related cost tracking.
- Coordinate internal systems and follow up on process progress to ensure timely completion.
Compliance and Risk Management
- Monitor operational processes to ensure compliance with internal policies and procedures.
- Identify potential risks and process issues, and support the implementation of corrective and preventive actions.
Business and Budget Analysis
- Consolidate and analyze procurement, budget, expense, and vehicle-related data.
- Prepare regular reports and provide insights to support management decisions and resource allocation.
- Monitor budget utilization and highlight potential overspending or spending inefficiencies.
Cross-Functional Coordination
- Act as the key operational contact for Sales and Marketing teams.
- Coordinate workflows and communication between local markets, headquarters, Procurement, Finance, and other support functions.
- Support the resolution of daily operational issues and ensure alignment between stakeholders.
Requirements
- Bachelor’s degree in Business Administration, Finance, Supply Chain Management, Operations Management, or a related field.
- At least 1-2 years of experience in business support, procurement, finance operations, sales operations, fleet management, or a similar position.
- Experience managing procurement-to-payment processes, budget tracking, expense control, and supplier coordination.
- Experience in company vehicle or fleet administration is preferred.
- Strong analytical skills, with the ability to consolidate data, identify operational issues, and provide practical recommendations.
- Good understanding of internal controls, compliance requirements, and operational risk management.
- Strong organizational and project management skills, with the ability to manage multiple tasks and stakeholders across different markets.
- Strong communication and cross-functional coordination skills, with the ability to work effectively in an international and multicultural environment.
- Fluency in English is required. Chinese / Dutch language skills are considered a plus.
