About The Role
Based at BYD’s Mulgrave office in Melbourne, this role will support our Aftersales Parts Operations team by coordinating import activities, shipment movements, and logistics operations to ensure parts are delivered efficiently and on schedule.
We are seeking a detail-oriented Parts Import & Export Coordinator to join our growing team. This role offers an excellent opportunity for someone with logistics, freight forwarding, or import coordination experience to further develop their skills within a fast-paced automotive environment.
Your day-to-day responsibilities will include, but are not limited to:
Key Responsibilities
- Import & Clearance Coordination
- Monitor vessel schedules and track shipments from departure through to arrival
- Prepare, review, and verify import documentation, including commercial invoices, packing lists, bills of lading, and arrival notices
- Liaise with customs brokers to support timely and compliant customs clearance processes
- Ensure documentation accuracy and completeness before submission
- Transport & Container Management
- Coordinate container movements with transport providers, including container pick-up and empty container returns
- Confirm collection schedules, delivery requirements, and depot arrangements
- Monitor potential demurrage and detention risks and escalate issues where required
- Financial & Reconciliation Support
- Follow up outstanding freight, customs clearance, and transport-related invoices
- Support invoice checking, cost reconciliation, and resolution of discrepancies
- Work closely with Finance and internal stakeholders to maintain accurate records
- Communication & Reporting
- Maintain effective communication with internal teams, freight forwarders, customs brokers, and transport providers
- Maintain shipment tracking reports and operational records
- Provide support on ad-hoc import and logistics activities as required
Key Requirements
- Essential
- Previous experience in import operations, freight forwarding, logistics coordination, or a related field
- Basic understanding of Australian import and customs clearance processes
- Strong attention to detail with excellent document checking skills
- Strong written and verbal communication skills in English and Chinese
- Ability to prioritise multiple shipments and manage competing deadlines
- Desirable
- Experience working with customs brokers and Australian transport providers
- Understanding of container movements, demurrage, and detention processes
- Experience with invoice checking, reconciliation, or basic financial administration
- Familiarity with logistics, supply chain, or ERP systems
- Other Information
- This role does not require a Customs Broker Licence
