Position Summary
We are seeking a detail-oriented and highly organized Service Parts Shipping. This role is responsible for coordinating the outbound movement of parts shipments, from small parcel to LTL freight to international shipping, while ensuring accurate, compliant, and timely delivery to customers and technicians. The ideal candidate is comfortable working directly with customers, internal service team and 3PL partners, is confident handling shipping documentation and compliance requirements, and can juggle multiple shipments and deadlines in a fast-paced environment.
Position Responsibilities
- Respond to shipping inquiries via email and phone and communicate with 3PL freight and small parcel carriers to obtain status updates, track locations, and coordinate destination changes from the internal service team.
- Palletize shipments, obtain dimensions and weights, and coordinate LTL freight shipments
- Arrange return freight and small parcel shipments from field sites to designated facilities
- Ship parts via UPS WorldShip, FedEx Ship Manager, and similar platforms; ensure shipments are picked up by carriers and complete daily end of day processing across all shipping platforms
- Support shipping operations for all internal departments
- Coordinate international freight shipments with 3PL brokers and regional teams; prepare and process customs documentation, including HTS codes, country of origin information, and commercial invoices
- Process and prepare hazardous material (HAZMAT) shipments for both small parcel and freight in compliance with DOT regulations
- Maintain a clean and organized shipping work area
Position Qualifications
- Knowledge of principles and processes for providing superior customer service
- Working knowledge of freight, small parcel, and LTL shipping processes, including experience coordinating with carriers and 3PL providers
- Ability to set and prioritize goals and manage multiple shipments and deadlines simultaneously; ability to execute and follow through on instructions given by supervisor
- Knowledge of Microsoft office; including, MS Word, MS Excel, and ERP systems
- Ability to articulate clearly when writing, including composition, spelling, and punctuation, for correspondence with carriers and customers
- Ability to safely operate a forklift, pallet jack, and other warehousing and shipping equipment
- High school diploma or GED, and reliable transportation
Ideal Candidates Will Also Have
- One or more years' experience in shipping, logistics, or freight coordination, including ERP and shipping software experience (e.g., UPS WorldShip, FedEx Ship Manager)
- Experience preparing customs documentation (HTS codes, country of origin, commercial invoices) and DOT HAZMAT shipping training or certification
Physical Requirements
- The ideal candidate must be able to lift over 75lbs, and complete all physical requirements of the job with or without reasonable accommodation
- Work is performed in a warehouse environment but requires the ability to operate standard office equipment; duties are performed in a warehouse or production setting, including loud noises
- Works consistently on foot, walking and moving throughout the facility
