The role in a nutshell
You keep fleet sales running smoothly behind the scenes. You make sure orders are clean, systems are correct, and partners get quick answers. You are the link between leasing partners, retail partners, and internal teams, ensuring that the order journey moves without friction from contract to registration to delivery readiness. When the pace increases, you bring structure and calm.
What you will focus on in the first 90 days
- Learn our fleet order flow end to end including systems, partner touchpoints, and approval steps
- Bring order hygiene to a high standard by tightening validation and documentation routines
- Build a reliable cadence with leasing partners and stores for questions, exceptions, and status updates
- Create a clear view on stock allocation logic and reduce manual rework and delays
What you will do
- Receive and validate incoming fleet orders and contracts from leasing partners, stores or agents, and internal stakeholders
- Check completeness and accuracy of contract terms, vehicle specifications, billing details, and delivery information
- Enter orders into internal systems such as Scepter and ensure correct triggers for logistics and delivery workflows
- Allocate available stock vehicles to incoming orders in coordination with planning and logistics
- Monitor order progress from entry to delivery readiness and proactively resolve issues or delays
- Support stores and leasing partners with questions on order processing and tools such as Leaselink, NCO, or similar systems
- Coordinate registration and handover documentation with local authorities and registration partners across Belux as applicable
- Maintain clear documentation for fleet orders until invoicing and final delivery are complete
- Own fleet sales reporting such as pipeline, order intake, and conversion views and keep CRM hygiene standards high
- Build templates and simple tools that standardise the process and speed up execution
What success looks like
- Fleet orders are clean and complete and can move through the process without rework
- Partners get fast answers and trust the status because data is accurate
- Stock allocation and registration steps are predictable and delivery readiness improves
- Sales teams spend more time selling because the operational flow is solid
What we need from you
- More than 3 years in fleet sales operations, order processing, leasing operations, or automotive logistics
- Comfort working with order systems and workflows and strong attention to detail under pressure
- Service minded communication with partners and internal stakeholders
- Structured working style with ownership and follow through
- Bachelor degree in a relevant field such as automotive, commercial, business, or similar is required.
- Trilingual: Dutch Flemish, French, and English.
- Experience with tools such as Leaselink, NCO, or similar systems is a strong plus
