Role Purpose
The Warehouse Operations & Administrative Analyst is responsible for supporting daily warehouse and logistics operations through operational coordination, administrative management, inventory control, reporting, and follow-up activities.
The role ensures proper execution of warehouse processes, documentation accuracy, operational visibility, and timely communication of risks or deviations to management.
Key Responsibilities
Warehouse & Inventory Operations
- Support daily warehouse activities including receiving, storage, picking, packing, dispatch, and inventory movements.
- Monitor inventory accuracy through stock controls, system validations, and operational follow-up.
- Coordinate and track inbound and outbound warehouse operations.
- Support operational organization and compliance within the distribution center.
- Assist in identifying operational deviations, stock discrepancies, or process issues.
Administrative & Operational Support
- Issue delivery notes (Remitos), operational documentation, and warehouse-related records.
- Create purchase orders and follow up pending approvals or deliveries.
- Coordinate administrative procedures related to warehouse and logistics operations.
- Maintain updated operational records and system information.
- Ensure proper documentation flow between warehouse, suppliers, logistics providers, and internal departments.
Reporting & Control
- Prepare operational reports, dashboards, and KPI follow-up presentations.
- Monitor logistics and warehouse performance indicators.
- Alert management about operational risks, delays, stock issues, or process deviations.
- Support continuous improvement initiatives through operational analysis and reporting.
Cross-Functional Coordination
- Provide operational visibility and status updates to supervisors and management.
- Support communication between operational and administrative areas.
Qualifications & Skills
- Technical background or studies in Logistics, Supply Chain, Administration, Industrial Engineering, or related fields.
- Experience in warehouse, inventory, logistics, or operational administrative roles.
- Knowledge of ERP/WMS systems and inventory controls.
- Strong organizational and follow-up skills.
- Advanced Excel and reporting capabilities.
- Ability to work in a dynamic operational environment.
- Strong communication and problem-solving skills.
Preferred (Nice to Have)
- Experience in automotive, spare parts, or distribution center operations.
- Experience creating operational dashboards or KPI reports.
- Knowledge of warehouse processes, logistics and inventory management.
- Advanced English communication skills.
