Job Summary: The Construction Executive Assistant is responsible for managing complex scheduling, facilitating seamless communication between stakeholders, and maintaining critical project documentation. The role also involves independently leading meetings, conducting site tours, and ensuring adherence to safety protocols. Additionally, the Executive Assistant will coordinate high-profile site visits and events, working closely with Communications and Government Relations teams to manage logistics. Ideal candidates will have strong business acumen, exceptional organizational skills, experience in construction or design coordination, and the ability to thrive in a fast-paced, high-stakes environment.
Essential Duties
- Efficiently manage scheduling, calendar logistics, and conference room bookings for construction directors, ensuring seamless coordination of ad-hoc and recurring meetings
- Take detailed meeting notes, track action items, and proactively follow up with responsible parties to ensure timely resolution of key priorities and project deliverables
- Serve as a primary point of contact for contractors, project teams, and internal departments, facilitating clear and effective communication across multiple construction and design groups
- Lead meetings and training sessions independently, conduct guided site tours, and enforce safety protocols to maintain compliance and operational efficiency
- Collaborate with Communications and Government Relations teams to plan and execute key site visits and events, managing logistics such as scheduling, room preparation, site navigation, and transportation arrangements
- Maintain and organize critical project documents, meeting notes, design approvals, and presentations, ensuring accurate record-keeping and accessibility for construction executives and stakeholders
Personal Protective Equipment (PPE) Requirements
- To ensure the health and safety in the workplace and for the protection of our employees,’ wearing PPE is a possibility and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator. Respirator fit test will be required based on functional area.

Qualifications

Education
- Required: High School Diploma or GED
- Preferred: Bachelor’s degree in Construction Management, Architecture, Interior Design, Business Administration, or a related field strongly preferred
Essential Qualifications
- 5 years of relevant work experience
- Strong business acumen with the ability to anticipate executive needs, analyze organizational challenges, and contribute to business strategy
- Must possess a proactive mindset in identifying opportunities for efficiency and growth
- Ability to communicate clearly and concisely with executives, stakeholders, and teams
- Experience handling sensitive executive communications, confidential project information, and high-level decision-making materials with discretion and professionalism
- Ability to assess and prioritize critical tasks in a dynamic construction environment, ensuring seamless operations despite shifting priorities and urgent requests
- Ability to liaise effectively with executives, contractors, design teams, government officials, and internal teams to facilitate seamless collaboration and information flow
- Exceptional organizational skills to efficiently manage multiple executive calendars, coordinate high-volume meetings, and oversee competing deadlines with minimal supervision
- Skilled in facilitating executive-level meetings, preparing agendas, taking minutes, tracking action items, and coordinating high-profile site visits, tours, and training sessions
- Adaptability and strong problem-solving skills to think critically and proactively address challenges in a high-pressure, fast-paced construction environment
- Ability to walk 1-3 miles daily when required for site visits, onboarding, inspections, and coordinating logistics for construction executives and stakeholders
- Must have working-level knowledge of the English language, including reading, writing, and speaking English
Preferred Qualifications
- Construction industry experience and familiarity operating in a start-up environment with hundreds of stakeholders, construction project workflows, site operations, design coordination, contractor communications, and regulatory compliance
- Experience using Procore, Bluebeam, Microsoft Office Suite (Excel, Outlook, PowerPoint, Teams), and design software to manage documentation, scheduling, and reporting
- Ability to read, interpret, and organize design drawings, RFIs, submittals, change orders, and approval documentation while ensuring proper record-keeping and accessibility

Preferred Certification(s)
- Certified Administrative Professional (CAP)
- Construction Management Certification (e.g., CMIT, CCM)
- OSHA 10 or 30 Certification
- Procore Certification (for project and document management)
