Role Description
In this role, you will work closely with the CEO to provide comprehensive executive-level administrative support. This role is crucial to the efficiency and effectiveness of our CEO, ensuring seamless communication and coordination of activities. This role requires a proactive and detail-oriented professional with excellent organizational, communication, people, and problem-solving skills.

Executive Support- Calendar management: proactively manage and prioritize a complex, dynamic calendar with strategic intent.
- Travel coordination: plan and coordinate domestic and international travel, including detailed itineraries and contingency plans.
- Inbox management and expense reporting: triage and manage email communications; draft responses and flag critical issues; manage timely and accurate reconciliation of expenses.
- Task and priority tracking: help the CEO stay on top of key deliverables and follow-ups.
Strategic Enablement- Decision-making support: provide summaries, talking points, and recommendations to support CEO decisions.
- Meeting coordination: oversee and guide strategic recurring meetings including all hands, and team summits.
- Project coordination: oversee or track special projects and strategic initiatives on the CEO’s behalf, ensuring deadlines are met.
- Board and leadership support: liaise with board members and senior executives, help prepare board materials, and coordinate logistics.
- Information flow: act as a conduit for information between the CEO and internal/external stakeholders, ensuring clarity and confidentiality.
- Stakeholder engagement: manage key relationships with investors, partners, and other executives; prepare the CEO for meetings with contexts and objectives.
Office of the CEO Operations- Process optimization: streamline CEO workflows and identify ways to improve effectiveness.
- Internal communication: assist with drafting CEO messages to the company and support internal alignment.
- Document management: ensure secure handling of sensitive documents and maintain efficient storage systems.
- Metrics reporting: track key performance indicators or OKRs relevant to the CEO’s focus areas.
- Rhythm of business: help to establish the cadence and sequence and drive alignment and coordination around key internal business activities.
- Event planning: plan and execute high-level internal and external events, including retreats and offsites.
Preferred Qualifications- 6+ years of relevant experience, including supporting C-level executives.
- Exceptional organizational and time management skills: ability to manage multiple priorities and competing demands with calm efficiency.
- Strategic thinking: understands the CEO’s goals and can anticipate needs, connect dots and take appropriate action.
- Business acumen: ability to contextualize business priorities, decisions and actions within broader organizational strategy.
- Project management: skilled in tracking projects, deadlines and progress across teams and departments.
- Strong written and verbal communication: can draft executive-level correspondence and speak on behalf of the CEO with polish and clarity.
- Attention to detail: flawless execution of complex tasks, down to the smallest elements.
- Proactive mindset, resiliency to changing environments, and collaborative.
- Strong multi-tasker and problem-solver with an appreciation for the challenges of supporting a growing team with diverse styles in a hybrid and remote working environment.
- Discretion and professionalism: trusted to handle sensitive information with the utmost integrity.
- High emotional intelligence: can read the room, manage up and down, and build trust quickly.
- Technical proficiency with Google Workspace, Microsoft Office, productivity/collaboration tools, and travel and expense platforms.
