- PPT Proficiency: Advance level of Power Point preparation skills needed
- Global team communication: Deploy policies, templates, and announcements in timely manner. Organize international meeting of members and support organization and logistics
- Confidentiality: Strict adherence to ethical standards and confidentiality.
- Calendar & Email Management: Proactively managing complex schedules, prioritizing emails, and resolving conflicts.
- Travel & Logistics: Coordinating intricate domestic/international travel, itineraries, and expense reports.
- Communication Liaison: Acting as the primary point of contact between executives, clients, and internal teams.
- Meeting Coordination: Scheduling, attending, taking minutes, and managing follow-up actions for meetings.
- Strategic Support: Conducting research, preparing documents, reports, and presentations.
- Office Administration: Maintaining files, handling confidential information.
- Document Management: Draft, edit, and format legal documents, including briefs, and correspondence. Create tables of contents and authorities.
- Case & Docket Management: Maintain client files, track deadlines, update, and manage cases.
- Client Relations: Serve as a primary point of contact for clients, managing correspondence and onboarding.
- Billing: Input external counsel charges and handle billing.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, and legal software (e.g., e-filing systems, timekeeping software).
Required Skills and Qualifications
- Experience: Proven experience as an executive assistant, personal assistant, or similar role.
- Communication: Exceptional verbal and written communication skills.
- Organizational Skills: Superior organizational, multi-tasking, and time-management skills.
- Discretion: Ability to handle sensitive, confidential information with high integrity.
- Technology: Proficiency in Microsoft Office Suite, Google Workspace, AI softwares and project management tools.
- Proactivity: Strong problem-solving skills and the ability to anticipate needs before they arise.
